Automation

Make your systems talk to each other, with no human in the loop.

We connect CRM, ERP, e-commerce, email marketing, payment and operations. We design automated flows that survive errors, retry and monitor themselves.

Most small and medium companies have a common, rarely-named problem: too much information travels manually between systems. The sales rep closes a deal in Pipedrive, someone copies it to Holded for invoicing, someone else creates a Trello ticket to provision, and still the client does not receive their welcome email because it was forgotten.

At Pixel Labs we design and implement automated flows that eliminate manual data transfer. We use n8n, Make, Zapier or custom development in Python and TypeScript, picking the best tool for the specific problem. We don\'t sell a hammer looking for nails: we look at your operations and propose what fits.

The processes that automate best

From experience, these are the flows with the highest ROI:

  • Customer onboarding — from contract signing to account provisioning. Typical saving: 4–8h per onboarding.
  • Invoicing — automatic issuance, email sending, late-payment reminders. Reduces average collection cycle by 15–20 days.
  • Lead management — automatic assignment, follow-up, enrichment. Increases conversion rate 10–25%.
  • Inventory sync — between warehouse, web and marketplaces. Prevents cross-channel stock outs.
  • Executive reporting — KPIs automatically generated from CRM, ERP and web in a single dashboard.

Automation is not replacing people

One important idea: good automation frees your team\'s time to do valuable work (talking to customers, thinking strategy, closing deals) instead of moving data between forms. It is not about reducing headcount, it is about stopping your team from losing 10 hours a week on tasks a script does in seconds.

What we build

ERP integrations

Connection between your e-commerce/CRM and ERPs like Holded, Sage, A3, Odoo, SAP Business One, Dynamics 365.

CRM ↔ Email marketing

HubSpot, Pipedrive, Salesforce connected to Mailchimp, Brevo, ActiveCampaign, Klaviyo.

Automatic invoicing

Invoice issuance and sending from e-commerce orders to Holded, FacturaDirecta, Quipu, Verifactu.

Customer onboarding

From contract signing to access provisioning: an automated flow that saves 4–8 hours per onboarding.

Inventory sync

Shared stock between warehouse, e-commerce, marketplaces (Amazon, El Corte Inglés, Fnac).

Automatic reporting

Sales, KPI and management dashboards that send themselves to leadership every Monday.

Why choose us

Flexible stack

n8n, Make, Zapier or custom development. Chosen by cost, volume and complexity per case.

Smart retry

All flows include retry with exponential backoff and manual error queue.

Real alerts

If something fails, the responsible person knows via Slack or email in minutes — not weeks later.

Living documentation

Each flow documented in Notion with diagram, description and owners.

GDPR compliance

Data encrypted in transit and at rest. Consent management. Auditable logs.

Your team trained

We train your team to modify simple flows without depending on us.

How we work

  1. 01

    Process audit

Interviews with area owners to map current processes and detect inefficiencies.

  2. 02

    Automation proposal

Prioritised by ROI: what to automate first, how much it saves, how much it costs, estimated timeline.

  3. 03

    Proof of concept

We implement the first flow in 1–2 weeks to validate approach before scaling.

  4. 04

    Implementation

We develop the rest of the flows in two-week sprints with functional partial deliveries.

  5. 05

    Monitoring and alerts

Flow health dashboard, Slack/email alerts, centralised logs.

  6. 06

    Training and handover

Training sessions for the team, complete documentation, optional maintenance plan.

Frequently asked questions

What's the difference between n8n, Make and Zapier?
Zapier is easiest but most expensive at volume. Make (formerly Integromat) has a better price/power ratio. n8n can be self-hosted and is nearly free at scale. We choose based on monthly executions and complexity.
When do you need custom development?
When no-code tools fall short due to volume (>1M executions/month), transformation complexity, strict latency, or specific compliance requirements. Then we develop Python or Node workers that are cheaper at scale.
How long does it take to automate something?
A simple automation (e.g. "when an order comes in Shopify, create an invoice in Holded") takes 2–5 days. Complete projects with 10–20 flows and a monitoring dashboard run 4 to 10 weeks.
Can you automate things that are not yet digitised?
Yes, but the order is: first digitise (get the information into a system), then automate. We also help with that first phase if you do not have a CRM, ERP or base tools in place.
How much does it cost to maintain an automation?
Depends on volume. Once implemented, they typically need 2–5 hours of monthly maintenance for adjustments. We offer monthly plans from €120/month with reserved hour packs.
What if a third-party API changes?
Included in maintenance. We monitor changes to critical APIs (Stripe, Google, Facebook, etc.) and update connectors before they break the flow. If a system makes unexpected changes, we react in under 24h.
